Funding Guidelines and Application

Funding deadline

To be considered, we must receive your request by no later than noon, Monday, March 16 2026. Send the completed request to funding@harboursiderotary.org  -   To avoid lost applications, we will be sending emails acknowledging receipt within two to three days.  If you have not heard from us within five days of sending, please contact us via the same email address as above.   

What we fund

We support projects / programs:

• where the outcomes provide benefits within the Capital Regional District; and
• in particular, in Victoria and / or Esquimalt.

We don’t support projects or programs where the benefits will be exclusively outside these areas.

Primary purpose

We support projects and programs that:

• help meet immediate, basic needs such as providing food, health services, security, and emergency shelter;
• provide support to people who are not at immediate risk but require support such as counselling, transition services, education and training; and
• improve the quality of life such as sports, arts, and social activities.

We:

• favour those where you have secured enough funding, including funding from us;
• will consider those where you have secured some but not all of the funding and have identified other likely sources for the rest; and
• are less likely to fund those where you don’t identify all actual and / or potential sources.

Our funding process and timing

We:

• will consider requests received by no later than noon, Monday, March 16 2026;
• will acknowledge receipt of your request, normally within five business days;
• conduct our assessments until mid-May;
• notify you of our decision by June 1, 2026.

If we approve funding

• we will send you a Funding Agreement; and
• you must complete the Funding Agreement and return it to us by June 15, 2026.

What you need to submit

You must send:

• a completed application form (see below);
• a high level budget for your organization (assets, revenues, expenditures) and a more detailed budget for the project / program (revenues with sources, and expenditures); and
• if we approved funding for you in May / June 2026, a report on what you have done with those funds up to December 31, 2026 and the results achieved.

Send them as separate files.

Do not send any other materials as we will not read or take them into consideration.
